About You and The Role
The role of Facilities Coordinator is to ensure the success of Zipline’s Engineering, Operations and Manufacturing teams by maximizing facility up-time, safety, productivity, comfort, and cleanliness. You will assist with facilities management and administration and supervise external contracts and vendors. Our ideal candidate plays a critical role in maintaining our company’s culture by prioritizing the employee and visitor experience at our offices. Please note that this is an onsite role in South San Francisco with occasional travel to Half Moon Bay.
What You’ll Do
- Directly manage and coordinate building technicians (where applicable) and external vendors to ensure effective facilities operation including but not limited to catering, valet services, beverage and snack supply, vendor payment and reconciliation via financial and procurement systems
- Provide comprehensive facilities, repairs, and maintenance support for our logistics operations. This should include full interior and exterior building systems as well as grounds maintenance and upkeep
- Assess our current and future facilities and infrastructure needs. This evaluation should include identifying risks, evaluating alternatives, and recommending mitigations and improvements, such as preventive and corrective maintenance programs
- Implement, manage, and oversee facilities, grounds maintenance, and custodial service contracts with a strong focus on cost control, service quality, and key performance indicators
- Coordinate materials, equipment, and services required for the repair, maintenance, and upgrade of building systems and site infrastructure
- Supervise Hazardous Materials and Hazardous Waste compliance programs in accordance with all applicable regulations and safety standards
- Manage, prioritize, and troubleshoot facilities repairs to ensure timely resolution while maintaining the highest levels of safety, quality, reliability, and sustainability
- Partner with external consultants, contractors, and firms to support capital improvement projects and imperatives for new and existing facilities
- Organize, maintain, and update projects, drawings, permits, records, and other facilities-related documentation with a high level of accuracy, proactively seeking out information to ensure completeness
- Be able to provide remote support of Zipline Facilities outside of California as well as our test sites. Coordinate materials, equipment, and services required for the repair, maintenance, and upgrade of building systems and site infrastructure
What You’ll Bring
- 5+ years of facilities management experience in light industrial, commercial, aviation / drone, or retail environments, including hands-on experience with facility capital improvement projects
- Demonstrated ability to prioritize effectively and manage time in a fast-paced, multi-site or operationally complex environment
- Strong verbal and written communication skills, with the ability to interact professionally with internal stakeholders, vendors, and external partners
- Highly organized with strong attention to detail and the ability to manage multiple concurrent tasks and projects
- Proven ability to proactively address maintenance issues, emergencies, and other facilities-related challenges
- Ability to work independently with minimal guidance while ensuring timely and successful completion of assigned tasks and initiatives
- High level of professionalism with a strong sense of urgency and accountability
- Intermediate to advanced proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
- Proficiency with collaboration and productivity tools such as Slack, Google Workspace / Suite, Jira and equivalent systems
- Flexible and adaptable, with the ability to manage and respond effectively to change.
- Ability to travel up to 10% as required.
The starting cash range for this role is $120,000 - $140,000. Please note that this is a target, starting cash range for a candidate who meets the minimum qualifications for this role. The final cash pay for this role will depend on a variety of factors, including a specific candidate's experience, qualifications, skills, working location, and projected impact. The total compensation package for this role may also include: equity compensation; discretionary annual or performance bonuses; sales incentives; benefits such as medical, dental and vision insurance; paid time off; and more.
