Topicals is seeking a proactive, highly organized and creative Executive Assistant who has a bias to action, to support our CEO and our President. This role requires a resourceful self-starter who thrives in a dynamic, fully remote environment. The ideal candidate is a service leader who enjoys problem solving and creating efficiencies while also operating with a high level of discretion.

Key Responsibilities

  • Provide day to day administrative support to CEO and President, working across multiple timezones.
  • Manage calendars and inboxes, ensuring timely responses and escalation as necessary.
  • Coordinate all meetings, prepare agendas and track post meeting action items and follow ups.
  • Operate with a high degree of discretion and professionalism.
  • Build strong relationships with key stakeholders, serving as a representative for the CEO and President in their absence.
  • Prepare CEO and President for external meetings by providing meeting briefs and all materials in advance.
  • Coordinate and manage travel logistics including flights, accommodations, ground transportation, dining reservations and itineraries.
  • Serve as a liaison between executives and internal teams, fostering smooth communication and follow through.
  • Assist with the preparation of materials for reports, presentations and board meetings.
  • Support the planning and coordination of retroactive business performance reviews, off-sites and various team events.
  • Contribute to special projects and other duties as needed

Skills and Requirements

  • 3+ years proven experience supporting senior level and C-suite executives.
  • Demonstrated success working remotely and/or across time zones.
  • Proven ability to efficiently manage multiple priorities.
  • Exceptional written and verbal communication skills.
  • Ability to anticipate needs, use sound judgement and offer creative solutions.
