About the team
In this role you will be joining the Operations Team, reporting to the Director of Operations (Strategic Sourcing). Our Operations team is the heartbeat of our fulfillment process, expertly managing everything from inbound shipments to outbound deliveries, including returns, picking, packing, and shipping. Their precision and dedication ensure every customer receives the perfect fit, on time, so they can feel confident and look their best for life’s most memorable moments. By keeping operations seamless and customer-focused, this team plays a pivotal role in delivering experiences that help our customers own their most special occasions.
About the role
We are seeking a proactive and organized Inventory Clerk - Procurement & Vendor Management to join our growing e-commerce company. In this role, you will be responsible for managing inventory supplies, placing purchase orders (POs), maintaining vendor relationships, and overseeing new bid processes. You will play a critical role in supporting our fast-paced order fulfillment operations by ensuring timely procurement of materials and maintaining strong vendor partnerships.
What you'll do
- Purchase Order Management: Place and track purchase orders for operating supplies, materials, and consumables to ensure adequate inventory levels to support order fulfillment. Monitor order statuses and coordinate delivery schedules with vendors to prevent stock shortages.
- Vendor Relations: Establish and maintain strong relationships with existing and new vendors. Communicate regularly to address any issues with product quality, shipping, or pricing. Ensure that vendors meet delivery schedules and quality standards.
- Bid Management: Manage the process of soliciting and reviewing new bids from potential vendors. Collaborate with the procurement team and other departments to evaluate vendor proposals and negotiate terms that align with company goals.
- Inventory Tracking & Management: Monitor inventory levels of materials and supplies, ensuring that all necessary stock is available to meet the demands of the fulfillment center. Review stock levels, consumption patterns, and reorder points to optimize inventory management.
- Supply Chain Coordination: Work closely with the warehouse and fulfillment teams to ensure that all purchased materials and consumables are efficiently integrated into daily operations. Ensure timely and accurate delivery to avoid disruptions in order fulfillment.
- Data Entry & Record-Keeping: Accurately enter purchase order details, vendor information, and inventory updates into the company’s inventory management system. Maintain detailed records of all vendor communications, order receipts, and transactions.
- Cost Management: Assist in monitoring inventory spending and work with vendors to negotiate favorable pricing and payment terms. Ensure purchases align with budgetary constraints and procurement goals.
- Contract Management: Assist in the preparation, review, and management of vendor contracts and agreements, ensuring that all terms are clear and compliant with company policies.
- Reporting: Generate regular procurement and inventory reports, including order statuses, vendor performance, and stock levels, for management review and decision-making.
- Quality Control: Ensure that all purchased materials and consumables meet company standards for quality and safety. Report any discrepancies, damages, or substandard goods to vendors for resolution.
Who you are
- Experience: Proven experience in procurement, inventory management, or vendor relations, preferably in an e-commerce or retail environment.
- Vendor Management: Strong interpersonal skills with the ability to develop and maintain productive relationships with vendors and suppliers.
- Data Entry & Organization: Excellent attention to detail with proficiency in data entry and maintaining accurate records of purchase orders, vendor agreements, and inventory levels.
- Negotiation Skills: Strong negotiation skills with the ability to secure favorable terms and pricing for the company.
- Communication: Excellent verbal and written communication skills to effectively collaborate with vendors, internal teams, and management.
- Technical Proficiency: Comfortable using procurement and inventory management software (e.g., SAP, NAV, or similar). Proficient in MS Excel, Google Sheets, or other spreadsheet tools for tracking orders and bids.
- Problem-Solving: Ability to quickly identify and resolve issues with vendors, deliveries, or inventory shortages to minimize disruptions to operations.
- Time Management: Ability to manage multiple tasks and deadlines in a fast-paced environment.
