About the Role

We are looking for a detail-oriented, proactive, and self-driven Business Operations & Admin Associate to serve as the single point of contact (SPOC) for all administration and business operations functions at our Bangalore office (~100 employees, managed co-working space).
Reporting to the Head of Administration based in Gurgaon, this role will be responsible for ensuring seamless day-to-day office operations, supporting employee-facing processes, coordinating with the co-working space operator and empaneled vendors, and acting as the local liaison for HR, IT, and Finance functions. The ideal candidate is highly organized, comfortable working independently in a distributed team setup, and capable of managing both operational and business support responsibilities.

In This Role, You Will:

• Manage end-to-end coordination with empaneled vendors for office requirements including catering (lunch/snacks), housekeeping, and office supplies; liaise with the co-working space operator for maintenance, security, transport, and access management needs
• Support procurement activities such as invoice collection, verification, submission, and follow-ups to ensure timely payment processing
• Coordinate with security teams provided by the co-working space to ensure adherence to organizational safety protocols, visitor management, and smooth access control for employees
• Conduct regular facility inspections to monitor the quality of services delivered by the co-working space operator; raise service requests, track resolution, and escalate recurring issues to the Head of Administration
• Oversee the movement and logistics of materials between offices (including the Gurgaon office) and external vendors, as required
• Maintain accurate inventory of office supplies and consumables, monitor stock levels, and initiate procurement requests in a timely manner
• Ensure Compliance and adherence to organizational policies and processes
• Coordinate office decoration and arrangements for special events and occasions
• Support employee onboarding and offboarding by coordinating desk allocation, access cards, IT setup requests, and local induction logistics in partnership with HR and IT teams
• Manage seat allocation and space planning for the Bangalore office, coordinating with the co-working space operator for any changes to capacity, layout, or additional requirements
• Own vendor contract tracking and renewal management for all locally managed vendors; maintain a contract register and proactively flag renewals or renegotiations to the Head of Administration
• Track and report on office operational expenses against budget; prepare monthly cost summaries and flag variances or cost-saving opportunities to the Head of Administration
• Act as the local liaison for HR, IT, and Finance teams to support employee needs on the ground, escalating issues appropriately and ensuring timely resolution


Here's What You Need:

• Bachelor’s degree in any discipline
• 4–8 years of experience in business operations, facilities management, administration, or a similar role, preferably in a corporate or tech environment
• Strong vendor management and coordination skills
• Understanding of procurement, invoicing, and vendor contract management processes
• Strong communication and stakeholder management skills; comfortable working with a remote reporting manager and cross-functional teams across locations
• Ability to multitask and manage multiple priorities effectively
• Proficiency in MS Office (Excel, Word, Outlook)
• Experience working in a Corporate/IT office environment
• Familiarity with facility management tools or procurement systems
• Exposure to handling audits, compliance, or workplace safety standards
• Prior experience working in a managed/co-working office space environment
• Experience supporting employee onboarding/offboarding processes or acting as a local HR/IT/Finance liaison
•Experience working in a distributed or multi-location team setup, reporting to a remote manager
