The Direct Mail & Postal Operations Manager is responsible for managing the entire data-to-mail process, from receiving customer data to final mail delivery.
The role ensures:
- Data accuracy
- USPS compliance
- Cost-effective postage strategies
π Key Responsibilities
π Data & Workflow Management
- Review and validate customer data files
- Coordinate data processing (formatting, cleansing, deduplication)
- Ensure data is ready for production
π¬ USPS Compliance
- Ensure all campaigns meet USPS regulations
- Manage mail classification, presorting, and documentation
- Stay updated on USPS rules and changes
π° Postage Optimization
- Determine the most cost-effective mailing strategies
- Use methods like presort, commingling, and drop-shipping
- Identify ways to reduce postage costs
π Documentation & Statements
- Prepare and submit postage statements
- Ensure billing accuracy
- Coordinate approvals with USPS
π Logistics Coordination
- Work with shipping and postal vendors
- Optimize delivery routes (SCF, NDC entry points)
- Manage third-party logistics relationships
π Cross-Functional Collaboration
- Work with internal teams (production, client services, data)
- Align project timelines and expectations
- Communicate issues or improvements proactively
π Process Improvement
- Track costs and performance metrics
- Improve workflows and efficiency
- Develop best practices for operations
β Qualifications
Required:
- 2β4 years in direct mail, mailing operations, or postal optimization
- Strong knowledge of USPS rules and mailing processes
- Experience with:
- Presort
- NCOA / CASS
- Mail.dat / Mail.XML
- Strong analytical and organizational skills
