Position Summary

The Fleet Specialist will support the management and optimization of company fleet operations across our operation. This mid-level role bridges the gap between daily coordination and strategic oversight, ensuring vehicles and equipment are properly procured, maintained, tracked, and utilized. The Fleet Specialist will handle compliance documentation, vendor coordination, and data analysis to drive efficiency and support the Fleet Manager in decision-making, while providing guidance to Fleet Coordinators.

Role And Responsibilities

  • Support the Fleet Manager in overseeing the company fleet program, ensuring vehicles and equipment are safe, reliable, and cost-effective.
  • Assist with procurement and leasing of vehicles, including preparing specifications, evaluating vendor quotes, and coordinating purchases.
  • Supervise day-to-day fleet operations handled by Fleet Coordinators, offering guidance and training as needed.
  • Track and analyze fleet utilization, fuel consumption, mileage, and maintenance costs; provide reports and recommendations for improvements.
  • Coordinate preventative maintenance schedules and ensure timely repairs with minimal operational downtime.
  • Ensure DOT compliance, vehicle inspections, and accurate recordkeeping; assist with internal audits and external reporting.
  • Help manage vendor relationships, negotiate pricing, and monitor service quality when needed.
  • Participate in accident investigations, reviewing repair estimates and supporting corrective action planning.
  • Maintain fleet-related documentation (registrations, titles, warranties, insurance, compliance filings).
  • Collaborate with HR, Safety, and Operations to support employee onboarding with vehicles, fuel cards, and equipment.
  • Serve as backup to the Fleet Manager when required, including decision-making in daily operations.
  • Perform other duties as assigned.

Qualifications And Education Requirements

Competencies

  • Ability to manage multiple vehicles and schedules while identifying trends and cost-saving opportunities.
  • Strong understanding of DOT regulations, inspections, and compliance documentation.
  • Experience in building and maintaining vendor relationships to secure competitive pricing and service quality.
  • Knowledge of vehicle maintenance lifecycles, warranties, and basic mechanical practices.
  • Ability to guide Fleet Coordinators, collaborate across departments, and effectively report to Fleet Manager.
  • Strong decision-making in routing, scheduling, emergencies, and accident response.

Education, Experience, Certifications

  • High school diploma or equivalent required; Associate degree in Business, Logistics, or related field preferred.
  • 2-4 years of experience in fleet coordination, logistics, or automotive operations.
  • Valid Driver's License with clean driving record (CDL helpful but not required).
  • Proficiency in Microsoft Office and fleet management software; telematics/GPS systems knowledge preferred.
  • Strong knowledge of DOT compliance and vehicle lifecycle management.
  • Ability to lift, push, pull, and move at least 60 pounds.
