Position Summary
The Conversions Supervisor oversees client payroll system migration projects, ensuring accurate, timely, and efficient conversions from legacy platforms to PRISMHR. This role manages client communication, project planning, and resource coordination while providing guidance to team members, resolving issues, and driving process improvements to enhance quality and client experience.
Essential Duties And Responsibilities
- Serve as the primary liaison for newly acquired organizations, building strong relationships and ensuring a smooth transition for their clients.
- Interface directly with conversion clients to communicate project timelines, milestones, and expectations, providing regular status updates and proactive risk management.
- Collaborate with clients, internal teams, and vendors to gather and validate critical payroll, tax, and benefits data required for system migration.
- Act as a trusted advisor, guiding clients through the conversion process and setting clear expectations for deliverables and responsibilities.
- Develop and maintain detailed project plans, including resource allocation, timelines, and risk mitigation strategies.
- Assess project complexity to determine resource needs and adjust plans to ensure successful completion within tight deadlines.
- Monitor overall project health, track progress against goals, and implement corrective actions when necessary to maintain quality and timeliness.
- Complete post-project evaluations to identify lessons learned and drive continuous improvement.
- Grow into a subject matter expert on the System Conversions process, understanding workflows, dependencies, and best practices.
- Review legacy system configurations and map equivalent setups in PrismHR to ensure accurate and seamless migration.
- Identify gaps in data or configuration and lead root-cause analysis to resolve issues quickly and effectively.
- Participate in and lead innovation projects aimed at improving speed, efficiency, and quality of conversions.
- Provide guidance and support to team members, assisting with issue resolution and coordinating additional resources as needed.
- Lead by example to foster a culture of accuracy, accountability, and teamwork.
- Offer constructive feedback on associate performance related to meeting deadlines and maintaining quality standards.
- Work closely with the System Conversions Manager on resource assignments and strategic priorities.
- Ensure all conversions meet compliance standards and deliver a positive client experience that supports retention and satisfaction.
- Conduct meticulous data validation and reconciliation to confirm accuracy before go-live.
- Document issues and resolutions thoroughly, maintaining transparency and accountability throughout the project lifecycle.
- Regular attendance at the assigned work location for our corporate office locations is an essential job function. For team members who are located in or near the Chandler, AZ and Duluth, GA offices, this is an in-office position.
- Build, maintain and promote relationships with team members, peers across disciplines, and all other company team members ensuring effective coordination of communications and services affecting clients.
- Attend webinars and training to stay up to date on best practices related to the company and department.
- Complete projects and other duties as assigned by supervisor.
- Ability to solve problems and make decisions based on the best information available, including resolving crisis situations and developing resolutions between parties.
- Prior experience converting/implementing clients and working in the HCM/PEO industry to help improve our ability to quickly convert clients with quality, focusing on client and employee retention.
- Experience seeing projects through from start to finish, ensuring every task is completed

- Proficiency with Microsoft Office software (Outlook, Microsoft Teams, Excel, Word, PowerPoint) and demonstrated ability to learn other applications as needed.
- Bachelor's degree or equivalent combination of experience, skills, education (including other relevant non-traditional degree programs, certifications, or job training programs) preferred.
- 2-4 years of payroll, benefits, and tax administration required.
- 2-3 years of leadership experience managing direct reports.
- Experience with project management software tools, methodologies and best practices.
- Prior experience in system conversion or implementation required.
- Experience with Prism and HR Pyramid preferred.
