Position Overview

We are seeking a highly organized, proactive Executive Assistant to provide direct support to the Owner of Anau. This is not a traditional administrative rolethis position functions as a strategic partner and "right hand, ensuring priorities are managed, details are handled, and nothing falls through the cracks.

The ideal candidate is sharp, resourceful, and thrives on creating structure in a fast-paced environment. This role requires a high level of ownership, discretion, and the ability to anticipate needs before they arise.

Responsibilities

Key Responsibilities

Calendar & Scheduling Management

  • Manage and optimize the Owner's calendar, including scheduling meetings, appointments, and priorities
  • Ensure time is allocated effectively and aligned with business priorities
  • Coordinate and confirm all meetings, including logistics and preparation

Email & Communication Management

  • Organize and manage the Owner's inbox, including prioritizing, flagging, and drafting responses
  • Ensure timely communication and follow-up on key items

Travel Coordination

  • Arrange and manage all travel logistics, including flights, accommodations, and itineraries
  • Ensure seamless travel experiences with clear, organized plans

Meeting Preparation & Follow-Through

  • Gather documents, materials, and information needed for meetings
  • Ensure the Owner is fully prepared in advance
  • Track action items and follow-ups after meetings

Task & Priority Management

  • Maintain and manage an active to-do list for the Owner
  • Track requests, deadlines, and priorities to keep work moving forward
  • Provide reminders and accountability to ensure completion

Operational Support

  • Assist with projects, coordination, and general operational needs
  • Act as a liaison between the Owner and internal/external contacts when needed

Qualifications

  • Minimum of 10 years of experience in an Executive Assistant, Chief of Staff, or similar high-level support role
  • Exceptional organizational and time management skills
  • Strong written and verbal communication skills
  • Ability to anticipate needs and operate independently with minimal direction
  • High level of discretion, professionalism, and judgment
  • Tech-savvy with experience using email, calendar, and productivity tools
  • Strong attention to detail with a commitment to accuracy and follow-through
  • Growth mindset with a willingness to learn and adapt
