Position Summary

The company is seeking a highly organized and detailoriented Preconstruction Coordinator to support our expanding Preconstruction and Estimating Team. This role is essential in ensuring that every bid submission is accurate, compliant, competitive, and thoroughly prepared. We are looking for someone who thrives in a fastpaced environment, enjoys collaboration, and takes pride in contributing to winning projects.

Responsibilities

  • Manage and organize all bid documents for active and upcoming pursuits.
  • Monitor local government procurement platforms to ensure no bidding opportunities are missed.
  • Review Invitations to Bid (ITBs), Requests for Proposals (RFPs), and bid solicitations to ensure full compliance.
  • Coordinate closely with Estimators to confirm all drawings, specifications, and requirements are reflected in each bid.
  • Maintain and expand the subcontractor and trade partner database.
  • Manage bidding activities in Procore, including ITB creation, document uploads, and bid communications.
  • Coordinate subcontractor bid submissions and organize documentation in Microsoft SharePoint.
  • Analyze subcontractor proposals to identify scope gaps, exclusions, or inconsistencies.
  • Follow up with subcontractors to maintain engagement throughout the bid process.
  • Attend prebid meetings and site visits, documenting key takeaways and relevant details.
  • Support client meetings and proposal presentations.
  • Develop complete bid response packages, including forms, narratives, attachments, and required documentation.
  • Coordinate bid bonds, qualifications, resumes, and all additional proposal components as needed.

Qualifications

  • Associate's degree, bachelor's degree, or equivalent relevant experience in construction administration, business, or related fields.
  • Minimum of 2 years of experience in construction coordination, estimating support, or document control with a General Contractor.
  • Strong understanding of ITBs, RFPs, and solicitation processes for public and private projects.
  • Proficiency in Outlook, Excel, Word, Bluebeam, Adobe, Procore, and SharePoint.
  • Strong organizational skills with high attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to multitask across multiple projects and deadlines.
  • Flexible, resourceful, and proactive problem solver.
  • Bilingual (English/Spanish) is a plus.
