About the Role
With a fast-growing ecommerce business, we are currently looking for a Vendor Relations Coordinator to work with our Supply Chain team that spans both brands in the Food52 Inc Family: Food52 and Schoolhouse Electric. This is a communication and detail-heavy role, with daily interaction with vendors from both brands, both drop-ship and owned inventory partners. This role will be overseeing new vendor onboarding and developing detailed knowledge of many different categories and vendor fulfillment capabilities, with coordination across multiple internal teams company-wide for on time product launches on both sites (Food52 and Schoolhouse).
Personal Characteristics
Detail-Oriented: You’re extremely detail-oriented -- you track down that missing piece of information and make sure all team members are up to speed on potential changes.
Master Communicator: You have impeccable communication skills -- both written and verbal. You understand the importance of tone and how to write an effective, articulate, and clear email.
Process-oriented: You’re process-driven and highly organized, constantly looking for ways to streamline and simplify complex tasks.
Community-centric: You understand that delivering a great experience to our customers means cultivating strong partnerships with our vendors. You pride yourself on being responsive and thinking creatively about how you can help each vendor resolve any challenges that arise.
Collaborative: You’re a master at getting things done cross-functionally and believe it’s about the team, not the individual.
High-energy: You’re optimistic and resilient, particularly in moments of change. You enjoy the fast-paced nature of working at a startup.
Responsibilities
Vendor Onboarding: Distributing, collecting, and filing all new Vendor paperwork. Working with vendors on questions for the Terms and Conditions. Working with cross-functional internal partners to ensure the Brand and Fulfillment Center pages for each Vendor are set up correctly on the backend of Food52, and set up correctly in SAP for Schoolhouse, so orders flow correctly to vendors and warehouses for processing.
Vendor Dashboard Training & Troubleshooting: Distributing all training materials to new Vendors and ensuring they understand all aspects of their fulfillment and inventory update responsibilities prior to their launch on either site. For existing Vendors, being their go- to for answers to anything-and-everything that may affect customer orders.
Vendor EDI Integrations: For any vendors that would like to connect via EDI, making sure they are submitted to SPS Commerce (the Food52 EDI provider) or Boomi (the Schoolhouse EDI provider), and that the EDI provider is working with the vendor to be ready to go-live by their intended product launch date. Also, helping vendors troubleshoot any EDI transmission issues in both directions (inbound and outbound) so that we ensure all orders and inventory feeds are being transmitted correctly and timely.
Vendor Fulfillment Challenges: Working with the Customer Service teams to resolve issues that prohibit a vendor’s ability to ship orders on time or accurately to customers.
Reporting: Quarterly reporting on vendor displayed lead times vs actual order-to-ship times to ensure we are presenting the customer with the most accurate ship dates when they are placing orders.
Projects: Bi-annual audits of expired or missing Vendor paperwork and Admin information. Quarterly Report Cards for our top vendors and our worst performing vendors. Help give positive reinforcement to our top partners, while also trying to address recurring issues with our problem vendors in order to get back on track with performance.
